Help FUEL CONSUMPTION REPORT

Card MIS makes it possible for you to view or download a Fuel Consumption Report.

AIM:
The main purpose of this functionality is to make it possible for you to evaluate the fuel efficiency and usage of the vehicles in your fleet. A fuel consumption average is calculated as Litres per 100km, which allows you to judge a single vehicle against the rest of the fleet's consumption.

Reports

All Fleet Administrators have access to Fuel Consumption Reports. Fleet Managers, Financial Controllers and Operational Managers have access to Fuel Consumption Reports only if they have been given Access to this functionality specifically.

Important points to take note of and possible problems:

  • PLEASE NOTE: If odometer readings have been captured incorrectly, the report results will also be incorrect. This means that the service station attendant must record the correct odometer reading when processing the transaction.
  • Downloading Report takes a little time, please be patient will the file is generated and downloaded.
  • If you have downloaded the report in CSV format and the file is opened, adjust the column widths and scroll left and right to be able to view all the data.

To View A FUEL CONSUMPTION REPORT

On the Fuel Consumption Report screen you have the choice to view a report on all the vehicles in your fleet or a specific vehicle.
To select a specific vehicle, enter the vehicle's registration number in the "Vehicle Registration" field.
To view all vehicles in your fleet, leave the "Vehicle Registration" field set to All, leaving this field blank will return no data.

Once you have selected the vehicle(s) for the report, enter the date range you wish to report on and click the Search button.

To Download A FUEL CONSUMPTION REPORT

On the Fuel Consumption Report screen you have the choice to download a report on all the vehicles in your fleet or a specific vehicle.
To select a specific vehicle, enter the vehicle's registration number in the "Vehicle Registration" field.
To download all vehicles in your fleet, leave the "Vehicle Registration" field set to All, leaving this field blank will return no data.

Once you have selected the vehicle(s) for the report, enter the date range you wish to report on. You may click the Search button to check which records will be included in the report.
Choose which format you want the Fuel Consumption Report to be downloaded as, CSV(Editable) and/or PDF(Non-Editable), then click the Download to Csv or Download to Pdf button.

Possible Problems:

  • Error message : There is no data available. This indicates that you have no data to report on for the specified date range, and/or registration number. Choose a different date range and make sure the Vehicle Registration is correct.
  • Error message : Invalid Start Date. This indicates that you have entered an invalid date, please ensure that you use the YYYY/MM/DD date format.
  • Error message : End Date must be after Start Date. This indicates that your either your End Date or your Start Date are incorrect, please ensure that the Start Date is earlier than the End Date.
