Maintain User

The following 3 user types have access to the Maintain User menu item on Card MIS:
TSA Administrator
Fleet Administrator
Dealer Administrator

To navigate to the Maintain User Screen, use the following keystrokes: Maintain/User.

To ADD A User

To Create or Add a new user to the Card MIS, use the following keystrokes: Maintain/User.
Click the Add button.

On the Add User screen, you can enter the relevant user details. If you are logged in as a Fleet or Dealer Administrator, the "Company/Account Number" field will already be filled in by default and it will be a grey-shaded area to indicate that it is not editable.
Depending on your user type and the user type you are creating, certain actions will be restricted. This is indicated by the grey-shaded fields, checkboxes and or buttons. Items on the dropdown list will also be limited by user type.

Clicking the "Access to Cards" check-box, will give the user access to request new cards, stop existing cards, restore cards and maintain drivers.
Clicking the "Access to Linked Account Info" check-box, will give the user access to view and download information regarding the transactions of the accounts linked to that user.
Clicking the "Access to Reports" check-box, will give the user access to the Reports menu item, enabling the user to generate, view and print operational reports.
Clicking the "Access to Price Update" check-box, will give the user access to the Dealer menu item.
Clicking the "Access to Fuel Prices" check-box, will give the user access to the Dealer Prices menu item.

Once you are done entering the relevant details, click the Ok button to create the user.

Possible Problems:

  • Error message: First Name, Surname, Email Address, Telephone Code/Number, User Type is Required. This indicates that you have not completed one of the mandatory fields.
  • Error message: Company does not Exist. This indicates that the "Company / Account No" field was left blank, or the Company Name/Account Number was entered incorrectly.

To SEARCH For A User

To Search for a user on the Card MIS, use the following keystrokes: Maintain/User.
Click the Search button.

This is an "open" search. Card MIS displays a list of all the relevant users in the Card MIS, on the User Search Results screen.
To refine your search you can enter specific search criteria on the Maintain User screen.

You can enter: the User's First Name or Surname or part thereof in the "Name" field, the Company Name/Account Number or part thereof in the "Company/Account No" field.
If you are logged in as a Fleet or Dealer Administrator the Account Number will automatically be filled in by default and gray-shaded to indicate that it is not editable.
If you are looking for a De-activated user, click the "Show De-Activated" check-box.
One or all of these entries will limit the list of users that the system displays on the User Search Results screen.

Possible Problems:

  • Error message: There is no data available. This indicates that the search criteria were not valid. Try and make your search wider, by only entering one of the three possible search criteria fields.

To EDIT A User

To Edit a user on the Card MIS, use the following keystrokes: Maintain/User.

To find a specific user that you would like to Edit, refer to the To SEARCH For A User section.

Once you have found the specific user, click the "Edit" link next to that user's "User Id".

On the Edit User screen, you can edit the relevant user details. The "User Id" and "Company/Account Number" fields will already be filled in by default and it will be a grey-shaded area to indicate that it is not editable.
Depending on your user type and the user type you are editing, certain actions will be restricted. This is indicated by the grey-shaded fields, checkboxes and or buttons. Items on the dropdown list will also be limited by user type.

To DE-ACTIVATE A User

To De-Activate a user on the Card MIS, use the following keystrokes: Maintain/User.

To find a specific user that you would like to De-Activate, refer to the To SEARCH For A User section.

Once you have found the specific user you want to De-Activate, click the "Edit" link next to that user's "User Id" and then click the De-Activate button on the Edit User Screen.
Alternatively you can click the check-box next to the"Edit" link, and then click the De-Activate button.

Card MIS will display a pop-up message: "Are you sure you want to De-Activate this user/s?".

If you are certain that you want to De-Activate the user, click the Continue button.
Card MIS will then display a confiirmation message.

Possible Problems:

  • Error message: 0 User(s) De-Activated Successfully. This indicates that you have not selected any User's check-box.

To ACTIVATE A User

To Activate a user on the Card MIS, use the following keystrokes: Maintain/User.

To find a specific user that you would like to Activate, firstly you must click the "Show De-Activated" check-box, as you can only Activate users who have been De-Activated.

Now you may continue with the search, refer to the To SEARCH For A User section.

Once you have found the specific user you want to Activate, click the "Edit" link next to that user's "User Id" and then click the Activate button on the Edit User Screen.
Alternatively you can click the check-box next to the"Edit" link, and then click the De-Activate button.

Card MIS will display a pop-up message: "Are you sure you want to Activate this user/s?".

If you are certain that you want to Activate the user, click the Continue button.
Card MIS will then display a confiirmation message.

Possible Problems:

  • Error message: 0 User(s) Activated Successfully. This indicates that you have not selected any User's check-box.

To DELETE A User

To Delete a user on the Card MIS, use the following keystrokes: Maintain/User.

To find a specific user that you would like to Delete, firstly you must click the "Show De-Activated" check-box, as you can only Delete users who have been De-Activated.

Now you may continue with the search, refer to the To SEARCH For A User section.

Once you have found the specific user you want to Delete, click the check-box next to the"Edit" link of the user you wish to Delete, and then click the Delete button.

Card MIS will display a pop-up message: "Are you sure you want to Delete this user/s?".

If you are certain that you want to Delete the user, click the Continue button.
Card MIS will then display a confiirmation message.

Possible Problems:

  • Error message: 0 User(s) Deleted Successfully. This indicates that you have not selected any User's check-box.

To DOWNLOAD A List Of Users

To download a list of users, use the following keystrokes: Maintain/User.

To find a specific list of users that you would like to Download, refer to the To SEARCH For A User section.
If the user has been De-Activated then you must click the "Show De-Activated" check-box, before you start the search.

Once you have found the list of users you wish to Download, depending on which format you prefer, click the Download to Csv and/or Download to Pdf button.
Please Note: PDF format is Non-Editable, whereas CSV format is Editable.

View User

The following 3 user types have access to the View User menu item on Card MIS:
TSA Administrator
Fleet Administrator
Dealer Administrator

To navigate to the View User Screen, use the following keystrokes: View/User.

To find a specific user that you would like to View, refer to the To SEARCH For A User section.

Once you have found the specific user, click the "View" link next to that user's "User Id".

Note that on this screen, all the users details have been greyed-out and is therefore not editable.
Click the Cancel button to return to the View User Screen.
